The Company:
This brilliant Events Supplier specialises in providing top-tier services for their clients. Working across a range of events, including corporate events, conferences, summits, gala dinners, and special occasions, they are committed to delivering exceptional event experiences for their clients. They are looking for an Events Administrator to join their team.
Position Terms: - Full-time Permanent Role
- Working 3 days in the office, located in Eastern Suburbs near Balwyn
- Competitive Salary (remuneration will be negotiated in line with experience)
The Role:
The Events Administrator will report into the Director's and be responsible for managing the logistics for events to ensure seamless event execution. This role will also be responsible for supporting one of the Director's with their client management and general administrative tasks.
Key Responsibilities include;
- Manage all logistics for bookings from start to finish, ensuring all aspects are handled smoothly and efficiently.
- Proactively liaise with Director's, Sales Consultants, and Clients to confirm and finalise event details.
- Relieve Sales Consultants of logistical tasks by ensuring all arrangements are followed through, including air travel, ground transfers, and briefing calls.
- Maintain direct communication with clients and Sales Consultants, ensuring all queries are addressed in a timely manner.
- Ensure all event details are finalised and all invoices are processed and paid according to our terms and conditions.
- Schedule and facilitate briefing calls with Clients, ensuring all details are covered and follow-up calls are made if required.
- Assist with the entry of event details into the Zoho CRM and ensure all agreements are prepared in a timely manner.
- For Director-led bookings, you will be required to enter full agreements into the system, ensuring all details are thoroughly reviewed and accurately entered.
- Provide administration support one of the Director's, and lead the coordination of Director-led bookings once agreements are entered into the system.
The Candidate:
The successful candidate will have experience coordinating event logistics in a client facing role. Strong organisational and administration skills with exceptional attention to detail is essential for this role.
- Excellent communication skills with the ability to work proactively with clients, stakeholders, and team members alike.
- As this is a heavy admin role, exceptional administration skills are essential.
- Ability to manage multiple tasks simultaneously.
- Ability to work independently, taking ownership of logistics and ensuring event success.
- Experience managing travel logistics, including flights, accommodation, and transfers is highly desirable.
- Proficiency in Zoho CRM and Outlook is highly desirable, but not a requirement.
- Ability to work from the office 3 days a week, located near Balwyn
