Event Coordinator - Part Time

The Company:

Our client is a boutique membership Association and they have a team of great staff. They are looking for an Event Coordinator to join their team on a permanent part-time basis. This role reports into the Manager - Communications and Events and works with them on delivering various events each year including conferences, virtual forems and briefings and advocacy events. 

The Role:

The Event Coordinator role will report to the Manager - Communications and Events and will be responsible for working with the Manager to lead the delivery of events on behalf of the association. This includes a range of online and face-to-face events for internal and external audiences, including a flagship conference, member events, and staff events.

Key Responsibilities include;
  • Develop, coordinate, and implement the delivery of the association's Events Program, in accordance with the association's Events Strategy 
  • Coordinate our flagship events, including a major biannual conference in June and other events and advocacy activities, in conjunction with association staff
  • Develop and manage the events calendar and work toward improving the sustainability of the association's events
  • Understand the requirements for each event
  • Plan events with attention to budget and time constraints, assisting with research, quote requests, proposals and budgets
  • Contribute to research, marketing, and promotions of the events 
  • Book venues and catering
  • Schedule speakers
  • Work with the Media and Communications Adviser to ensure the overall look and feel of the event is consistent across all communications (branding, theme, and content)
  • Collect, compile and format events materials and maintain online events materials
  • Assist with registration and database management
  • Manage delegate communications and enquiries
  • Manage bump-in and bump-out of events, including the provision of on-site support
  • Manage attendee evaluations/surveys.
  • Evaluate each event’s success, prepare and submit reports.
  • Develop, maintain and implement systems and procedures for the efficient and effective delivery of events
  • Contribute to the development of policies and guidelines related to event management delivery
The Candidate:

The ideal candidate will be looking for a part time 3 day per week role and will have experience as an Events Coordinator preferably in the world of conferences and membership events. Excellent organisational and time management skills are essential, and experience working within an association or a PCO is highly desirable.
  • A proven track record of organising successful events, experience working on conferences is required for the role
  • Good verbal, written and visual communication skills
  • Exceptional attention to detail and good time management skills
  • Proven ability to problem solve and adapt to changing priorities
  • Proficiency in Microsoft Word, Outlook, Excel and PowerPoint
  • Team player who can work autonomously
