The Company:


A boutique conference and incentive events agency based in Melbourne that has a great team environment are looking for a new Events Coordinator to join their team due to growth. We have been recruiting for this team for around 7 years and while boutique, they have lots of longevity in their staff and this role has lots of room for growth as well. They deliver great conferences and incentive events for their clients and pride themselves on retained clients. 

Position Terms:
  • Full-time permanent role
  • Hybrid role working 3 days a week in the office
  • Salary: $70,000 - $80,000 plus super
The Role:

The Event Coordinator reports into the Event Director and will be a fundamental support for the events team. This role is a new position due to growth of accounts within the business and is a permanent role. This role will work with Senior Event Managers and the Event Director on multiple conferences and incentive events for clients. The role is a hybrid role with working from the office 3 days per week and 2 days from home and having flexibility within this also. This role will require you to be able to travel both Nationally and Internationally for events. 

Key responsibilities will include:
  • Researching venues and developing great relationships with venues for conferences and special events. 
  • Securing venues for clients at reduced rates.
  • Sourcing suppliers and developing great relationships with them.
  • Managing supplier and venue contracts.
  • Ensuring the best rates for clients. 
  • Budget and financial coordination.
  • Ability to develop event documentation from run sheets, project plans and more. 
  • Work with our internal team on travel requirements for clients and staff for events. 
  • Handle event logistics and organisation of operational equipment for events.  
  • Registration management with EventsAIR as well as working with other modules of EventsAIR for different clients when required. 
  • Website and social media management for events or clients when required. 
The Candidate: 

With a key focus on attention to detail, ability to research and find the best deals and ability to handle event administration and registrations for events within EventsAIR. The right candidate will have worked on Incentive and Conference Events previously with experience with a major CRM system preferably EventsAIR. 
  • Previous experience with an Events Registration CRM essential, EventsAIR preferred. 
  • Excellent communication, presentation and strategic time management skills.  
  • Exceptional attention to detail. 
  • Energetic, enthusiastic, innovative, inspiring and results driven. 
  • Sound judgment and decision making. 
  • Flexible and adaptable to work outside of core hours and travel to events when needed.  
  • Ability to travel Internationally for events.
