The Company:
This wonderful agency prides itself on organising great attention to detail conference and events for not for profit clients. The company has a well established team who are looking for another great addition that can assist with running conferences and events and is interested to work with NFP and Association clients.
Position Terms: - Full-Time Permanent Role
- Working 4 days in office, with 1 day flexible to work from home
- Salary: $90,000 - $100,000 plus super (depending on experience)
- EventsAIR experience is essential
The Role:
The Conference Manager will report to the General Manager and will be responsible for the planning and coordinating all logistics in the lead up to and in the execution of a diverse portfolio of conferences. The role will be supported by senior management as well as conference coordinators which this role will lead, train and mentor.
Key Responsibilities include;
- Managing and controlling budgets, including managing projections, handling invoices and expenses, and preparing financial reports.
- Developing and adhering to project timelines.
- Developing, maintaining and managing strong relationships with clients and committees.
- Liaising with speakers and delegates.
- Sourcing, negotiating, securing, and managing suppliers, vendors and contractors.
- Overseeing and managing event registrations and website/app builds via EventsAIR.
- Overseeing event marketing duties, including preparing marketing collateral and ensuring consistent event branding.
- Managing the conference program (excluding program procurement).
- Overseeing and managing the database.
- Leading, training and mentoring junior team members.
- Delivering events on-site.
- Conducting post-event analysis and reporting.
The Candidate:
The successful candidate will have proven experience managing conferences and events, ideally within a Professional Conference Organiser. The ability to manage multiple conferences simultaneously at different planning stages and various sizes is essential. Experience using EventsAIR is required for this role.
- Strong organisational, planning and time management skills.
- Outstanding attention to detail and accuracy.
- Sound financial acumen: able to implement complex conference budgets, manage projections, variances and supplier expenses, and provide accurate financial reporting.
- Advanced communication and interpersonal skills to lead client meetings and manage various stakeholders.
- High level technical, troubleshooting and problem-solving skills.
- Ability to train and mentor junior team members.
- Strong EventsAIR skills and experience.
- Resourceful, with the capacity to work across various projects autonomously
- Ability to work from the office at least 4 days a week, located in North Sydney.
- Ability to travel interstate and to NZ for events when required.
- Ability to work outside of normal business hours and weekends for events when required.
